Tech Tools at MindWeal – Overview
At MindWeal, we use a set of integrated platforms to deliver structured, high-quality, and efficient care.
As part of onboarding, you will be given access to these tools and will create usernames and passwords for each. This article provides a high-level overview of what each platform is and how you will use it in your day-to-day workflow.
DrChrono (EMR)
This is our primary clinical system.
You will use this to:
- Document patient visits
- Review patient information and assessment reports
- Create treatment plans
- Prescribe medications
- View your schedule
This functions like a typical EMR, but at MindWeal, it is used in a highly structured and psychiatry-focused way.
Important:
Your initial onboarding and training will primarily happen here, as this is where:
- You review patient data
- You document your clinical decisions
- You apply MindWeal’s structured approach
MindWeal Platform
This is our patient-facing platform.
Patient side:
- Patients create accounts and complete onboarding
- They set-up appointments, pay their bill, check their treatment plan & access Patient knowledge base
Provider side:
You will primarily use this for:
- Secure communication with patients (chat-based, paperless system)
- Sending instructions, updates, and follow-ups
- Checking patient status (e.g., arrival for in-person visits)
- Viewing schedule elements
This is a core part of our paperless workflow and patient engagement system.
RingCentral (Internal Communication)
This is our primary internal communication platform.
You will use this to:
- Communicate with the front office
- Message other providers and staff
- Collaborate within teams (e.g., Chicagoland Clinical Team, ADHD Testing Team, Marketing Team)
Additional uses:
- One-on-one messaging with any team member
- Making outbound phone calls (calls show MindWeal number)
Important:
- Any return calls go to a central help desk, not to you directly
- You do not need to manage voicemails—staff handles this
HubSpot Knowledge Base 3
This is our central training and reference system.
You will use this to:
- Access onboarding materials
- Review workflows and protocols
- Continue learning MindWeal’s structured approach
Important:
- Access is password-protected
- This should be your first resource for questions and guidance
Zoom
We use a HIPAA-compliant version of Zoom for virtual care.
You will use this to:
- Conduct virtual patient visits
- Attend internal meetings
Important:
- Your account will be set up with specific waiting room and meeting settings
- This ensures a consistent and secure patient experience
