Paid Time Off (PTO) Policy

Eligible employees receive 120 hours of Paid Time Off (PTO) per calendar year. The PTO year begins on January 1 and ends on December 31.

Eligibility

  • New employees become eligible to use PTO 30 calendar days after their employment start date.

How PTO Is Earned

  • PTO is accrued gradually each pay period rather than being granted all at once at the beginning of the year.
  • Employees who remain employed for the entire calendar year will accrue a total of 120 hours of PTO.
  • Employees hired after January 1 will receive a prorated PTO allotment based on their hire date and will accrue PTO accordingly for the remainder of the calendar year.

PTO Balance

  • Employees may accumulate a maximum PTO balance of 200 hours.
  • Once the balance reaches 200 hours, additional PTO will not accrue until the balance falls below the cap.

Carryover

  • Employees may carry over up to 40 hours of unused PTO into the next calendar year.
  • Any unused balance above 40 hours will be forfeited unless otherwise required by law.

Using PTO

  • Employees may use up to 160 hours of PTO during a calendar year, subject to their available balance and the negative balance policy below.
  • PTO requests must be made in increments of at least 4 hours and no more than 80 hours per request.
  • PTO should be requested and approved in advance to ensure adequate staffing and business operations.

Negative PTO Balance

  • Employees may have a PTO balance of up to 40 hours below zero, if approved. Future PTO accruals will automatically reduce any negative balance.

Request and Approval Process

  • All PTO requests must be submitted through Rippling.
  • Employees are responsible for submitting PTO requests accurately and as far in advance as reasonably possible.
  • PTO requests are not approved until they have been reviewed and approved by the employee's supervisor or manager. Employees should not assume that requested time off has been approved until they receive confirmation.
  • Supervisors are responsible for reviewing PTO requests in a timely manner while considering staffing needs and business operations.
  • The Front Office Manager is responsible for monitoring and maintaining accurate PTO records in Rippling.
