Step 1: Opening the scheduling window
Open Scheduling Window from Calendar
- Click schedule> calendar to open the calendar
- Go to the desired time slot and click in it to open this window
- Start writing the patient's name in the field titled “Patient” and choose the correct patient from the drop down.
Open Scheduling Window from Patient’s chart
- Search for the patient's name in the “search field”. Select the desired patient from drop down
- Click Appointments, then schedule a new appointment to open the scheduling window.
Step 2: Entering details of the appointment in Scheduling Window
- Provider: Select the provider from the drop down with whom the appointment is being scheduled
- Billing: Enter the billing provider. Do not touch the field unless the billing provider is different from the provider who will see the patient. This only happens when a newly hired provider is in the process of getting credentialed with the insurance company.
- Supervising: Enter the supervising provider. Do not touch the field unless the supervising provider is different from the provider who will see the patient. This only happens when a newly hired provider is in the process of getting credentialed with the insurance company.
- Office: Choose the correct office where visit is being scheduled.
- Profile: Choose appropriate Clinical visit profiles are based on 3 variables:
- Type of Service: New patient, Established patient, ADHD testing
- Is the visit in-person or virtual?
- Will the patient use insurance or will they pay cash?
- Exam: Choose the correct exam room.
- Scheduled: Choose the correct date and time for the appointment
- Duration: Choose the appropriate duration of appointment
- Choose a reminder profile: Choose the appropriate reminder profile (A) Make sure view active reminders is ticked (B) Choose the correct reminder profile as follows:
