Sick Leave Policy

Eligible employees receive 40 hours of paid sick leave each calendar year. The sick leave year begins on January 1 and ends on December 31.

Eligibility

  • New employees become eligible to use sick leave 7 calendar days after their employment start date.

How Sick Leave Is Earned

  • Sick leave is accrued gradually each pay period rather than being granted all at once at the beginning of the year.
  • Over the course of the calendar year, employees will accrue a total of 40 hours of sick leave, provided they remain employed throughout the year.
  • Employees hired after January 1 will receive a prorated sick leave allotment based on their hire date and will accrue sick leave accordingly for the remainder of the calendar year.

Sick Leave Balance

  • Employees may accumulate a maximum sick leave balance of 120 hours.
  • Once the balance reaches 120 hours, additional sick leave will not accrue until the balance falls below the cap.

Carryover

  • Employees may carry over up to 40 hours of unused sick leave from one calendar year to the next.
  • Any unused balance above 40 hours will not carry over.

Using Sick Leave

  • Employees may use up to 80 hours of sick leave during a calendar year, subject to their available balance and the negative balance policy below.
  • Sick leave requests must be made in increments of at least 4 hours and no more than 40 hours per request.
  • Employees must provide a reason when requesting sick leave.

Negative Sick Leave

  • Employees may have a sick leave balance of up to 40 hours below zero, if approved. Future sick leave accruals will automatically reduce any negative balance.

Request and Reporting Process

  • All sick leave must be recorded in Rippling.
  • When an absence is foreseeable, employees are responsible for submitting their sick leave request through Rippling in advance.
  • If an illness or emergency prevents advance notice, employees should notify their supervisor as soon as reasonably possible and submit their sick leave request in Rippling as soon as they are able.
  • If an employee is unable to submit the request due to illness or another emergency, the Front Office Manager is responsible for ensuring that the employee's sick leave is entered into Rippling on the employee's behalf.
  • Supervisors are responsible for reviewing sick leave requests and ensuring appropriate staffing coverage, while the Front Office Manager is responsible for maintaining accurate sick leave records in Rippling.
